As the end of the housing agreement approaches, we want to make you aware of the move-out procedure for this year. The housing agreement that you signed for this school term ends on ___ ___ (please consult your housing agreement for the specific date relevant to you) at noon.

That said, a large number of cities and states still have shelter-in-place orders in effect due to COVID-19 which impacts how the move-out process must happen. Our top priority, and our mandate under government orders, is to do what we can to protect the health of all tenants. As such, at this time we are not sending our contractors, staff, or volunteers into the houses to inspect rooms for move-out condition. To accommodate the shelter-in-place orders, we are extending the deadline for move-out and the removal of personal possessions from the house. For any members who are currently sheltering-in-place at the house, we will extend housing agreement dates if the COVID-19 situation necessitates that you stay past the end of the housing agreement. Please let us know if this is the case for you.

For the time being, for your safety as well as the safety of anyone sheltering-in-place at the chapter house, please remain sheltered-in-place where you are. Once these orders have been lifted, we will follow up with more specific dates and instructions. We will work with you and chapter leaders to provide access to the facility so that you may return to the house to move out of the house in a safe and organized way. In the meantime, rest assured that we will not remove any of your possessions from the house. 

Once new dates for move-out have been established, you will need to let us know how you plan on getting your things. You will be able to schedule a time to return to the house in order to pack up your belongings and move out. In the event that you are unable to return to the house to personally gather your things, we highly recommend that you work with a friend to get your personal items packed up and out of the house.

If it is not possible for you or a friend to return to the house to gather your belongings, we have partnered with CollegeBoxes. They can be hired to box up and locally store your items or ship them to you. For more information or to arrange service, please see the flyer attached to this email. All you need to do if you are interested is contact them to get on their list and we will arrange access dates with them. The deadline to sign up is Monday, June 15th. If there is enough interest, we will arrange for earlier access so that CollegeBoxes can pack your things and send them to you sooner.

If we do not receive notice from you that you will be moving your things, or having them moved out of the house, all items remaining in the house will be moved into a common area so that we will be able to clean the rooms and sanitize the entire facility in preparation for the 2020-2021 school year. The cost of packing and moving items that are left behind will be billed to the room occupants. We encourage you not to use this scenario as your primary plan as we cannot guarantee the safety of any possessions left in the facility over the summer and there is no insurance carried to cover these contents. Please make every effort to coordinate the safe removal of your belongings.

Our expectations for room conditions can be found at www.espondaassociates.org/move-out-guide. We will be keeping security deposits until after possessions are retrieved and we have been allowed to inspect the premises. We will return them to you along with your accounting as soon as possible thereafter.  According to state law, the current mailing address for all residents is your chapter house. In order for mail communication to continue in a timely manner after your tenancy, please submit a forwarding address for all future postage. If we do not receive a forwarding we will make a best attempt to return your deposit by sending them care of your parent/guarantor address on file.
